Hidden Villa: Part-time Office Assistant

Hidden Villa is seeking a Part-time Office Assistant who will be responsible for providing administrative support to the Executive Director, which includes tasks such as calendar management and other administrative duties as required. Additionally, the Office Assistant is accountable for performing archival work to support Hidden Villa's historical archive.

This is a part-time, hourly position, with an approximate duration of six months. The role requires the candidate to work around 20 hours a week

Hidden Villa is a nonprofit educational organization that uses its organic farm, wilderness, and community to teach and provide opportunities to learn about the environment and social justice. Hidden Villa stretches over 1600 acres of open space in the foothills of the Santa Cruz Mountains, about 40 miles south of San Francisco. Hidden Villa's mission is to foster educational experiences that build connections and inspire a deeper appreciation and respect for nature, food, and one another.

Qualifications

  • Minimum two years administrative support experience;

  • Experience with Google suite (docs, calendar, sheets) preferred;

  • Experience or knowledge of archival processing standards and best practices;

  • Excellent communication and organizational skills;

  • Excellent judgment and discretion regarding sensitive information required.

Responsibilities

  • Primary Administrative Duties:

    • Support the Executive Director by providing management of calendar and other administrative tasks;

    • Respond to main phone line and greet visitors in the front office, providing gracious and effective communication;

    • Serve as support to the Board of Directors in preparing packets for board meetings and committees, and providing scheduling and logistical support for meetings, including space reservation and any necessary catering.

  • Primary Archive Duties:

    • Responsible for processing, storing, and documenting items in Hidden Villa’s collection of documents, books, blueprints and documents, according to archival processing standards; 

    • Support work related to Centennial Celebration, including publication of a book related to Hidden Villa’s history;

    • Draft regular newsletter submissions regarding archive work as needed for communications and development efforts;

    • Create and maintain procedures and policies for archive work; 

    • Provide reports for use in presentations to board, donors and grantors;

    • Coordinate work of any archive volunteers.

COmpensation and Benefits

  • The compensation for this position is $30/hour. This position includes accrued, prorated, paid time off for sick leave, vacation and paid holidays..
